Q: What browsers does Hanzo support?
A: Chrome is recommended, however we also support Safari.
Q: What time does my daily index complete?
A: The trigger time for all clients is 7AM UTC which equates to 3AM EST or 12AM PST. Your system will typically finish the daily updates by 4am PST.
Q: Do I need to backup my data for a PiP migration?
A: When we migrate, each Hanzo Illuminate matter will get a named matter within Slack Legal Hold and each custodian placed within the Legal Hold matter. No ingested content in Hanzo Illuminate gets removed at all. At the time of the migration and once the custodian is held in Slack, the daily ingestion of data will be placed into a "Preserved/Paused" state in Hanzo Illuminate. If a client wants to place a matter back into active sync (daily collection), they can do that on a case-by-case basis.
Q: What’s the difference between a Hanzo Illuminate Legal Hold and a Slack Legal Hold?
A: In 2021 Slack released the ability to create legal holds inside Slack using a Compliance Manager role. It is this technology that Hanzo is leveraging when creating matters and assigning custodians. Hanzo Illuminate is automatically creating and orchestrating legal holds within Slack. In this way, Hanzo users are not required to coordinate with internal Slack teams or administrators when placing custodians on legal hold within Slack.
Q: How are Hanzo-created Slack and Google Workspace Legal Hold’s named?
A: Your Hanzo matter names will appear in Slack or Google with a prefix of HNZ- and a numbering suffix starting with -0. So, if your Hanzo Illuminate matter name is “Acme v Telco”, your Slack Legal Hold will be displayed as “HNZ- Acme v Telco -0”.
Q: Will added or removed custodians be in sync with Slack Legal Holds?
A: Yes, Hanzo Illuminate manages custodian assignments within Slack Legal Holds. If you add custodians to an existing matter, they will be automatically added to the legal hold within Slack. If you remove custodians from a matter, that custodian will be removed from the Slack Legal Hold.
Q: If I create a legal hold using Slack, does it show up in Hanzo?
A: No. Currently only those matters created by Hanzo are accessible within Hanzo Illuminate. Hanzo Illuminate does not read or sync custodians in matters that are created using the Slack Legal Hold application.
Q: Does Hanzo’s matter start/end date apply to Slack Holds?
A: Unfortunately, Slack does not allow editing of date ranges after a matter has been created. For this reason, Hanzo does not pass start and end dates into Slack Legal Holds. All channel and direct messages across all dates will be held for each custodian.
Q: Can I place specific channels on hold?
A: Currently Slack Legal Holds are custodian (member) based. Specific channels cannot be held in place independently within a Slack Legal Hold.
Q: Is there a limit on the amount of custodians I can put on hold in a single matter?
A: Slack Legal Holds have a maximum of 1000 custodians, however Hanzo automatically creates additional matters with a matter numbering suffix (example: -0, -1, -2) and applies the necessary custodians to complete your matter. There is nothing additional that a Hanzo Illuminate user needs to do for large matters.
Q: What happens if someone deletes or edits Hanzo Legal Holds within Slack?
A: If a Hanzo created hold is modified using Slack’s Legal Hold tool, Hanzo does not reflect those changes inside the Hanzo matter. Therefore, Hanzo discourages the editing or deleting of Hanzo-created matters using Slack’s Legal Hold tool.
Q: What happens when I remove a custodian or close a matter in Hanzo Illuminate?
A: Hanzo automatically removes custodians from existing Legal Holds within Slack. If an entire matter is closed within Slack, the matter will be marked as “Released” inside Slack. All custodians will return to the Slack enterprise data retention rules unless they are active in another matter.
Q: If my existing matters are migrated into Slack Preserve in Place, what happens to all of the data already associated with those matters in Hanzo Illuminate?
A: All data previously collected in Hanzo Illuminate is retained - when you choose to set a custodian back into active collection mode, only new data will be collected.
